What a PIP inspection pays attention to

Unreliable keeping of employee documentation is an offence under art. 281 of the Labour Code, punishable by a fine of 1,000 to 30,000 PLN. The audit removes these risks before they become grounds for a fine.

How long does an HR audit take?
The time depends on the number of employees and the state of the documentation. An audit of a company with a dozen or so people usually takes from a few days to two weeks, from the review of the files to a report with recommendations. What does an HR audit report contain?
The report contains a list of gaps in the personnel files and other documentation, a risk assessment (e.g. out-of-date medical exams, missing working time records), a list of documents to be completed and the order of actions. On request, we also take over completing the documentation itself as part of HR administration.

How long must personnel files be kept?
For employees hired after 1 January 2019, personnel files are kept for 10 years from the end of the calendar year in which the employment relationship ended. For earlier employment, the general rule is 50 years, unless the employer filed a ZUS RIA information report. The audit checks whether the documentation is archived in line with these periods.
