Why companies outsource HR and payroll

HR and payroll outsourcing is a cooperation model in which the company hands its HR and payroll obligations to an external office. The most common benefits are:

  • Cost reduction. The company does not need to maintain an HR department, recruit HR and payroll specialists or buy specialist software.
  • Legal compliance. As an external office, we track labour law and tax regulations, and the entrepreneur transfers to us the financial risk of any errors (e.g. in calculating contributions).
  • Continuity of work. Outsourcing eliminates the "single-person" risk: if the HR person falls ill or leaves, the company is not left without settlements, a team secures the service.
  • Focus on business. Entrepreneurs gain time they can devote to developing products, serving customers and sales.

Frequently asked questions about payroll and HR services

What do payroll and HR services cover?

Payroll and HR services cover keeping personnel files, calculating pay and payroll registers, settling ZUS contributions and income tax, working time records, leave and certificates of employment. It is the full cycle of an employer's obligations towards employees and offices.

How much do payroll and HR services cost in Poznań?

The cost depends on the number of employees and the types of contracts. We most often use a monthly subscription per employee. After a short conversation and understanding the Client's needs, we prepare a free, individual quote, see the price list.

How do payroll and HR services differ from bookkeeping?

Bookkeeping settles the company with the tax authorities (taxes, records, statements), while payroll and HR services concern employees: contracts, personnel files, pay and ZUS contributions. The two areas complement each other and often run in parallel.

Can I outsource only payroll and keep HR in-house?

Yes. We set the scope flexibly, we can take over everything or a selected area, e.g. just salary calculation or just HR. Most often, however, companies commission both parts together, because the data overlaps.

How does handing over documents to the service work?

After signing the contract, you hand over the list of employees, contracts and existing documentation. We start with an audit of the payroll and HR documents and point out what needs to be completed. We enter the data into the payroll system and exchange current documents electronically. The first payroll register is usually produced in the first full month of cooperation.

Who is responsible for errors in settlements?

The office is responsible for the correctness of calculations within the entrusted scope, on the basis of the contract. That is why we work on up-to-date regulations and double-check payroll registers before payment. We hold professional civil-liability insurance (OC) for any damage caused in connection with our business.

Does the service include contact with ZUS and the tax office?

Yes. We prepare and file ZUS DRA, RCA, ZUA, ZWUA, PIT-11, IFT and PIT-4R declarations, handle corrections and correspond on settlements. In the event of an inspection, we help gather the documentation.

Do you serve sole traders who employ workers?

Yes. We serve micro-businesses, including sole proprietorships employing even a single worker or contractor.

How long must personnel files be kept?

If the employment relationship began on 1 January 2019 or later, the documentation is kept for the period of employment plus 10 years from the end of the year in which the employment relationship ended. For employment started after 31 December 1998 but before 1 January 2019, the period is 50 years, unless the employer filed a ZUS RIA information report.

Does the cooperation require in-person visits to the office?

No. We run the service remotely, you send documents electronically, and we stay in touch by phone and email. The office in Poznań is available if you prefer to meet in person.
