HR and payroll outsourcing for firms in Poznań, compliance and time savings
HR and payroll outsourcing means handing over full employee administration to an external office: personnel files, salary calculation and settlements with ZUS and the tax office. It is chosen by micro, small and medium firms that want to lower their fixed costs and have certainty of compliance with regulations.
What you gain with HR and payroll outsourcing
HR and payroll outsourcing at E&P Service transfers to us the duty of keeping to deadlines, regulations and the correctness of settlements. In our view it pays off already at 5 employees, a variable cost replaces the fixed cost of a full-time post, and the firm gains continuity of service.
- Lower fixed costs, you pay for the real scope, without a salary, a system and training for an HR specialist.
- Continuity, the service does not stop because of one person's leave or illness.
- Compliance with regulations, we work on the current Labour Code and ZUS regulations.
- Less risk, the office takes responsibility for the calculations within the entrusted scope.

Frequently asked questions about HR and payroll outsourcing
What does HR and payroll outsourcing involve?
HR and payroll outsourcing means handing over full employee administration to an external office: keeping personnel files, salary calculation, ZUS and PIT settlements and HR documentation. The firm gains compliance with regulations and time savings without maintaining its own HR department.
Is HR and payroll outsourcing worthwhile for a small company?
Yes. Already at 5 employees the cost of outsourcing can be lower than maintaining a full-time HR specialist with a system and training. On top of that, there is no risk of interruptions in settlements when one person is on leave or sick.
How does outsourcing differ from hiring an HR specialist?
Your own HR specialist is a fixed cost, leave and single-person risk. Outsourcing is a variable cost depending on scope, continuity of service and the support of a team with access to legal counsel and an occupational health and safety specialist.
How does the transition to outsourcing work?
We start with an audit of the documentation and the list of employees, then we migrate the data to the payroll system and set the schedule of payments and declarations. The takeover usually takes from a few days to three weeks.
Will my data be secure?
Yes. We process the data in accordance with GDPR on the basis of a data processing agreement. Salary information is covered by confidentiality, and only the people serving the firm have access to it.
Does outsourcing include contact with public offices?
Yes. On behalf of the firm we prepare and submit ZUS declarations, PIT-11 and PIT-4R, file corrections and keep to statutory deadlines in order to avoid interest charges and sanctions.
Can I commission only part of the service?
Yes. The scope is flexible, you can hand over everything or a selected area, for example only payroll or only ZUS handling. Most often firms choose the full HR and payroll package.
Will outsourcing work for employing foreigners or posted workers?
Yes. We handle contracts of foreigners and posted workers, including settlements related to posting. You will find the details on the page for posted workers services.
Is remote cooperation possible?
Yes. We exchange documents electronically, which means we serve firms from Poznań, the surrounding area and all of Poland without the need for office visits.
On what basis do we cooperate and do we sign a contract?
The cooperation is based on a contract for the provision of payroll and HR services and a data processing agreement (GDPR). The contract sets out the scope, deadlines and liability of the office. We usually conclude it for an indefinite period with a termination notice period, which gives the firm flexibility.
What happens when I want to end the cooperation or change offices?
After the cooperation ends we hand over the complete payroll and HR documentation and data in a form that allows it to be continued by the firm or a new office. We close the settlements through to the end of the service period, so that no gap arises in ZUS and PIT declarations.
Does outsourcing include advice on hiring and dismissals?
Yes. We advise on choosing the form of employment, preparing contracts and annexes, and on terminating contracts in line with the notice periods under art. 36 of the Labour Code. In disputed matters we are supported by legal counsel. We describe the details in the labour law for firms service.
